Not all notaries are required to keep a journal or record book for notarial acts and transactions by their state. Approximately a third make it compulsory.
Journals are optional for the rest, but they’re quite tactical. Even if it’s just to protect themselves, notaries should keep track of notarial happenings.
Many times, documents have protected a notary official from paying hefty fines or facing prosecution when their work has been called into doubt. Their innocence was shown by the journal entries. They need to fill out the notary certificate or form. The document must be accompanied by the proper notarial certificate or short form. Aside from the signer’s information, the Notary Services agent must also add information about the notarial act’s date and location, as well as a signature that fits their commission.
